Kili Base Adventures is a registered company based in Moshi, Kilimanjaro
- Tanzania.
Reserving Space
Kili Base Adventures offers daily departures on all routes. The
high season is from June through September, October, January and
February. Our trips are small groups of 12 persons or less, so
space is sometime limited. We also recommend that you call as
early as possible to ensure space is available on your desired
departure date. We recommend you book with us at least two to

Reservations
When Kili Base Adventures has accepted your booking, the date
of the confirmation invoice activates the terms and conditions
of the contract. Confirmation of services is subject to payment
of a deposit of 25% of the total invoiced amount. Reservations
at certain lodges are non-refundable and the names of these lodges
will be provided on request of the client. The balance is to be
paid not later than 60 days prior to commencement of the services.
When reservations are made within 60 days prior to the departure
date, full payment is required immediately on written confirmation.
If payments are not received within the above time frame, Kili Base Adventures reserves the right to cancel the tour which has been booked and retain any deposit received to set against expenses incurred in the reservation of such safari. All bookings are subject to availability at the time of booking and cannot be guaranteed.
Prices
Prices are quoted in US dollars. All prices are subject to change
until the full amount has been paid. Once the full amount is paid,
you will not be subject to any further price increases. Should
prices or costs from suppliers increase due to inflation, currency
depreciation, and/or increase in park fees and/or fuel surcharges,
Kili Base Adventures will have no other option than to pass on
the same to you unless your invoice has already been paid in full.
All suppliers reserve the right to increase prices at any time
of the year when costs increase outside the control of the supplier.
Please note that when the client's itinerary overlaps two seasons,
the price will be pro-rated over the two seasons.
Child Rate
Child rate is only applicable to one or two children under 12
years of age sharing a room with two adults. In the case of two
children sharing a room with parents, the two children will share
a bed, as most hotels and lodges cannot accommodate a fourth bed.
One child sharing a room with one adult will be charged full adult
rate.
Single Travellers
Our safari costs are based on double occupancy. However, we try
to accommodate single travellers who request single accommodation,
as well as single travellers who are looking for a roommate. If
a single room is requested, or we are unable to find a suitable
roommate, you will need to pay a single supplement. Single accommodation
is not available on all safaris.
Deposits
Deposits are due at the time of booking. The deposit amount is
25% of the total invoice.
Cancellation Policy
If you wish to cancel your safari vacation you must notify Kili
Base Adventures in writing as soon as possible. Your notice of
cancellation is only effective when it is received in writing.
In such case the following cancellation charges will be payable:
61+ days prior to departure: Full deposit
60-15 days prior to departure: 50% of total price
14- Departure Day / no show: 100% of total price
Any refunds made due to cancellations by the customer will be
net of any bank transfer charges incurred by Kili Base Adventures.
Although it rarely happens (and Kili Base Adventures will do their
utmost to avoid doing so) Kili Base Adventures reserves the right
to cancel tours and other arrangements. If your holiday is cancelled
(other than due to your default in payment) due to unavoidable
circumstances beyond our control, e.g. over bookings, the company
will offer you the choice of purchasing an alternative holiday
(and paying or receiving a refund in respect of any price difference)
or receiving a refund of the monies paid to Kili Base Adventures.
You must take out adequate travel insurance to cover any cancellation
fees.
Travel Insurance
It is essential that you are adequately insured for the activities
that you wish to do. Your insurance policy should specifically
cover cancellations, interruption, delays and unforeseeable expenses
as well as any high risk activities that you wish to undertake.
Travel insurance covers expenses such as:
• trip cancellation, interruption or delays
• emergency accident and sickness
• 24-hour emergency medical assistance
• lost, damaged, stolen or delayed baggage
At a minimum, the insurance should protect you against trip cancellation
and trip interruption, should you need to cancel your trip due
to circumstances such as training injuries or sickness or emergencies.
Insurance must cover high altitude trekking (not to be confused
with "mountaineering" or "mountain climbing"
which most insurance will not cover) and all medical and repatriation
costs. Keep your proof of insurance on your person at all times.

Flights
In the event of flight delays the airlines concerned are not to
be held liable for any act, omission or event during the time
the passengers are not on board their aircraft or conveyance.
Flight delays are not considered as alterations to the program and as a consequence any compensation applied for from the company is not applicable. In the event of a scheduled flight delay, cancellation or over booking, Kili Base Adventures cannot be held liable for any costs incurred. Any denied boarding compensation, if applicable, should be sought from the airline concerned or travel insurance protection and not Kili Base Adventures.
The company cannot guarantee flight times detailed on the itinerary. It is possible that they may change at short notice. In the event they do, Kili Base Adventures will make every available effort to assist you.
Our Published Rates
Changes in rates are rare and caused by extraordinary circumstances
outside Kili Base Adventures control. In the rare event that a
cost should increase, cancellation is allowed without penalty.
All prices are per person, based on double occupancy. All prices
are subject to change.
Travel Documents and Vaccinations
Travellers must be in possession of valid passports and any visas,
permits and certificates required for the entirety of their safari
and should arrange such vaccinations as are normally recommended
for the countries through which they intend to travel. Information
as to these matters and as to climate, clothing, baggage, gear,
and similar matters is given in good faith but without responsibility
on the part of Kili Base Adventures.
Force Majeure
The expression "force majeure" means any event which
the supplier(s) in question could not have foreseen or avoided
even with all due care. Such events may include war or threat
of war, riots, civil strife, industrial dispute, terrorist activity,
natural or nuclear disaster, fire, adverse weather conditions,
government action and all similar circumstances outside the supplier's
control. In these circumstances the suppliers shall not be liable
to pay any compensation or otherwise be responsible for any expenses
or losses you incur where supplier is forced as a result to cancel,
delay, curtail or change your holiday arrangements in any way
or where the performance or prompt performance of the supplier's
contractual obligations is prevented or affected.
Complaints
In the unlikely event that a tour member has a disagreement whilst
on safari this must immediately be brought to the attention (and
put on record) of the local representative, hotel, lodge or camp
management. It is likely that the tour member's complaint will
be satisfactorily resolved there and then. If, however, this is
not the case and the tour member wishes to pursue the matter on
their return from safari, it is essential the complaint be communicated
in writing to Kili Base Adventures within 10 days of the end of
tour quoting tour reference, destination and departure date. Shall
the client wish to report the matter to our office they are all
welcome so we can re-discuss the matter and resolve it.
Liability
The company and its agents act only as agents of the passenger
in all matters relating to hotel accommodation, sight seeing,
tours and transport. The company's liability to passengers carried
in its own vehicle is governed by the laws of the country in which
the tour takes place and not any other country. All claims are
subject to the jurisdiction of the courts of the country in which
the action arises. The company reserves the right to employ sub-contractors
for all or part of the services. The Company cannot be held responsible
for loss or damage to baggage.
Specific Accommodations
Accommodations and arranged sightseeing are subject to change
at any time due to unforeseen circumstances or circumstances beyond
Kili Base Adventures control. Every effort will be made to operate
tours as planned, but alterations may occur after the final itinerary
has been issued.
